Hosting and visiting the website

The website runs on a server of Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. The server is located in Helsinki, Finland, within the EU. A data processing agreement under Art. 28 GDPR is in place with Hetzner.

When a page is requested, the server processes technically necessary data, above all your IP address, to deliver the page to your device. The web server does not keep access logs with IP addresses. The connection is encrypted with TLS (HTTPS).

Legal basis: Art. 6 (1) (f) GDPR. The legitimate interest is a secure, working website.

No cookies, only browser storage

This website sets no cookies. Two items are stored only in your browser and are not sent to the server:

Visitor statistics with Umami

To improve the website, page views are counted with the open-source software Umami, running on the own server (analytics.hanosofts.de) without passing data to other providers. Umami sets no cookies and stores no IP addresses.

Recorded are, for example, the page visited, the referring page, browser, operating system, device type and country, plus single steps such as sending the contact form, never what you type. If "Do Not Track" is switched on in your browser, your visit is not recorded.

Legal basis: Art. 6 (1) (f) GDPR. The legitimate interest is improving the website based on visitor numbers.

Contact form and email

What you enter in the contact form (name, email address, details about your business and your request) is only used to answer your enquiry. It goes to the self-hosted software n8n on the own server and is stored there. n8n pre-sorts enquiries by fixed rules such as region, company size and time involved. Spam is kept out by a hidden field and a time check, not by a third-party captcha.

For a summary and a reply draft, the text of your enquiry is sent to the AI service Claude by Anthropic, PBC (USA). [TALHA: check the contracting entity and the transfer basis (e.g. EU-US Data Privacy Framework or standard contractual clauses) in the Anthropic account.]

Talha Afzalzada reads every enquiry and checks and sends every reply himself. There are no automated decisions within the meaning of Art. 22 GDPR. Replies are sent via Hostinger's email service. [TALHA: check the contracting entity and server location in the Hostinger account.]

Name, email address and your request are needed to reply; everything else is voluntary. Legal basis: Art. 6 (1) (b) GDPR (enquiry before a possible contract), otherwise Art. 6 (1) (f) GDPR.

Enquiries are deleted once settled if no contract follows, at the latest 12 months after the last contact. If a contract follows, the statutory retention periods of up to 10 years apply (HGB, AO).

AI assistant (chat)

The "hanosofts AI assistant" answers questions based on the content of this website. Your message, the conversation so far and the page you are on are sent via the own server to the OpenAI interface. [TALHA: check the contracting entity, the retention period there and the transfer basis in the OpenAI account.]

Successful conversations are not stored on the own server. Only after a technical error is the run kept for troubleshooting, for at most 14 days. To limit misuse and cost, the server counts questions per day using a short code calculated from IP address and date that cannot be reversed. It is overwritten the next day.

Please do not enter personal data in the chat. The chat is not forwarded to hanosofts; for enquiries, please use the contact form or email. Legal basis: Art. 6 (1) (f) GDPR. The legitimate interest is answering your questions at your request.

Recipients and transfers outside the EU

Data only goes to countries outside the EU where the requirements of Art. 44 et seq. GDPR are met.

Your rights

You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20). You can object at any time to processing based on Art. 6 (1) (f) GDPR (Art. 21). An email to info@hanosofts.de is enough.

You can also lodge a complaint with a data protection supervisory authority. The competent authority is: Die Landesbeauftragte für den Datenschutz Niedersachsen, Prinzenstraße 5, 30159 Hannover, Germany.

Changes

This policy is updated as soon as the website or the services used change.
